Compliance Administrator

Southern Systems International are seeking an individual to fill the role of Compliance and Administration within the Project Management Office. This individual will be responsible for maintaining and completing company ISO 9001 audits, documentation, and procedures. OSHA, environmental, and business licensing compliance are in addition to the ISO responsibilities. Administrative duties as follows: Driver MVR reports, arranging training, booking travel, assist with procedure documentation & development, and general administrative duties to the Project Management team. The position of Compliance and Admiration reports to the PMO Manager, and will be trained under the current Compliance Administrator. 

Working Conditions are On-Site Full Time at SSI’s Memphis Office, with routine visits to SSI’s fabrication facility.

Travel: 0-10%

Competence with MS Office required.

Experience with ISO 9001 and or OSHA certification are preferred

Competence with MS Visio, Bluebeam, Smartsheet, MS Project preferred

Compliance & Administrative Job Duties:

  • ISO 9001 Lead: 

    • Conduct quarterly internal audits.

    • Facilitate quarterly Management Review Meetings.

    • Complete & oversee annual submission of documentation for ISO 9001 certification renewal.

    • Maintain and update company procedures.

    • Deliver internal auditor training programs.

  • Third-Party Compliance: 

    • Manage activities within designated platforms (Avetta, ISN, Supplier Assurance).

  • Driver Safety: 

    • Coordinate and order annual Motor Vehicle Record (MVR) reports for authorized drivers.

  • Occupational Safety & Health (OSHA): 

    • Investigate and address OSHA complaints.

    • Collaborate with other company administrators to complete OSHA 300 and 300A forms.

  • Environmental Compliance: 

    • Conduct quarterly wet and dry weather inspections for stormwater discharge.

    • Oversee annual stormwater sampling.

  • Facility Security: 

    • Manage key card and gate remote access for employees.

    • Maintain alarm system for the Viscount Office.

  • Business Licensing: 

    • Submit annual reporting and renewal of Secretary of State (SOS) and contractor licenses.

  • Employee Training: 

    • Coordinate and deliver OSHA and DCI (Installation) training programs for field employees.

  • Travel Booking

    • Book travel for field employees. (Air, car rental, hotels, etc).

  • Project Management: 

    • Assist Project Management team with administrative tasks as required.

    • Document and assist with development of standard processes within the PMO organization.
